Fees

At Votta Lettings we believe in complete transparency as well as adhering to Consumer Protection Regulations and The Property Ombudsman code of practice. We would always encourage our clients to take the Fully Managed service, especially as the legal landscape is constantly changing making it harder to keep up to date and compliant. That being said we’ll cater a package that is right for you – after all you are the client!

Below you will find a list of our fees. You’ll notice the fees don’t come with VAT and one fee covers the whole tenancy set up:

Set up costs for a Fully Managed Service (pre tenancy)

£650 NO VAT

These costs encapsulate a multitude of services listed below

  1. Full enhanced marketing package that includes professional imagery, a lifestyle driven write up, room measurements and floor plans
  2. Advertising on Rightmove, our own site and additional blogs and exposure on social media platforms for maximum exposure
  3. Pre-tenancy checking and setting up the tenancy ensuring you are compliant with legislation
  4. Arranging and advising on any and all works required prior to the commencement of the tenancy (including organising contractors)
  5. Proactive ring out of all registered applicants to generate further activity and tenant matching
  6. Viewings conducted by a skilled professional that knows your property intimately
  7. Follow up and regular feedback on viewings
  8. Negotiation and agreeing the best tenant for the best rent in a timescale that suits you
  9. Inventory and Schedule of Condition
  10. Drafting, negotiating and agreeing specific clauses where necessary to go into your tenancy agreement
  11. Ensuring on the tenancy sign up paperwork is in place as per the Deregulation Act 2015
  12. Signing of the paperwork as the agent on behalf of the landlord
  13. Taking the initial move in monies and ensuring the tenants standing order is in place
  14. Registration and signing of the deposit through a government approved scheme (TDS) and notifying the tenant

Fees during tenancy.

Fully Managed Fee:

10% NO VAT

  1. The main contact between landlord and tenant
  2. Collecting and processing the rent
  3. Accounting to you monthly including statements
  4. Organising maintenance and repair work giving you the choice of contractor (who must have the necessary indemnity and liability insurances in place)
  5. Routine visits every six months with the first being on month three
  6. Annual gas safety organisation and serving the relevant certificate to the tenants
  7. Rent increase and tenancy negotiations
  8. Chasing arrears and serving the statutory correspondences
  9. Serving the relevant section notices to regain possession
  10. Finalising the end of tenancy, ensuring the tenant is checked out and the property is returned to its original condition allowing fair wear and tear.
  11. Negotiating the deposit release

 Tenancy Renewal Fee:

£85 NO VAT

  1. Inviting both landlord and tenant to renew
  2. Negotiating the term
  3. Negotiating the rent
  4. Negotiating any additional special condition clauses
  5. Drafting of the new agreement
  6. Arranging the signing of the new agreement for both parties so that a new term is entered in to

Specialist Rent Guarantee and Legal cover:

We purchase the policy on your behalf and you are the interested party registered on the policy. This means we will handle all aspects of the claim on your behalf, saving you time and ensuring you still benefit from your rent and legal cover. For more information on pricing and types of cover please ask us for more information.

Services not included with Let Only/Tenant Introduction but can be purchased separately:

  1. Inventory and Schedule of Condition: £85 NO VAT for a studio property + £5 per additional bedroom
  2. Registration and signing of the deposit through a government approved scheme (TDS) and notification to the tenant: £30 NO VAT
  3. End of tenancy checkout: £80 NO VAT for a studio property + £5 per additional bedroom

The process for letting a property now is a very serious and comprehensive thing to do, regardless of whether you’re an experienced landlord/investor or if this is your first time letting. 

There are over 150 pieces of legislation surrounding residential lettings therefore landlords and letting agents are under constant scrutiny in the trade press so its time we really stuck together. The below is a short walk through guide on the process of letting your property. We embrace modern technology and all the incredible tools available for successfully sourcing that all important tenant, but we would always prefer the good old fashioned way of picking up the phone and talking to us directly.

We will guide you every step of the way so you are comforted in the knowledge that you are in the very best hands because lets face it, people buy people and our relationship will be built upon trust, integrity, respect and professionalism – plus we’ll make the journey an enjoyable one.

Finding and selecting your agent

Many landlords will call a number of agents out to value their property because it’s a free service and you only pay one agent when the job is done. Why waste your time and confuse yourself with too many? Make the decision based on the following things:

  1. The way that agent markets their properties, does the marketing look the best it possibly can be? How will they go about this?
  2. How much do they have on their books? If it is a lot then what will they do to ensure your property gets the desired attention you want?
  3. What’s their knowledge of the local market?
  4. Are they regulated and do they have a strict code of conduct?
  5. Do they belong to a redress scheme?
  6. Do they have client money protection?
  7. Do they display their fees as per Consumer Protection Regulations?
  8. Most importantly what is their complete knowledge of lettings? Anyone can be an agent but not everyone will get it right and be able to represent you for possession in a court of law
  9. Where have they got the rental figure from? Are they just trying to win your business and tell you what you want to hear or are they genuine?
  10. Who will be your main contact? Or as soon as it’s let will you be passed over to a centralised call centre (if managed)?
  11. What timescale would that agent look to get the property let?
  12. What makes their agency stand out from the rest?
  13. Do you need to do anything to get the property up to the current standards for let?
  14. Who will be showing the prospective tenants around?
  15. What are the agents opening hours? You want maximum exposure and a succesful chance of letting, never miss an opportunity to show someone around
  16. What level of service are you expecting from your agent?
  17. What do their customers say about them? Check out their reviews online

Are you ready for the market

As we all know the majority of initial searches are done online therefore we need to make sure we differentiate your property and make it stand out from the rest. The reason we do this is to ensure maximum exposure which will result in the very best tenant paying the very best rent.

How do we do this? It’s an obvious process but you’d be surprised at the amount of landlords that don’t do it and use the phrase “it’ll do for tenants”. When the photographer comes in it needs to be ready for pictures to attract the right clientele.

Take a look at our marketing section to see examples of the expectation we have of ourselves, when taking photos of your property the presentation is vital.

The property has to be in line with current standards; at Votta Lettings we will do a risk assessment of the property in our walk through and advise you on your statutory obligations, some of it may be not what you want to hear but we need to protect you.

We can market in advance of work being done with our unique photography and generate the interest whilst you get the work sorted (or we can organise it for you with our approved contractors (see contractors section). Either way your property needs to be the best it can be within your affordability in order to get the tenancy started off on the right foot.

Getting you noticed

Once you have instructed us we go all out by getting your property up and running on our software with all the necessary details in place. We get it ready to launch on the websites as well as conducting a dedicated and proactive ring out session of all our pre- approved tenants that are already registered through us. We don’t sit back and let the website do the work for us – we go out there and find your next tenant! We create a buzz on social media using an array of tools at our disposal, and  our favourite thing to use is that thing called the ‘telephone’…

Our website works really well as a shop window and very useful guide for both landlords and tenants that want any information at their fingertips 24 hours a day 7 days a week.

Seeing as social media has exploded we really make great use of it and it gets the desired outcome, although we still use Rightmove – the UK’s largest property search engine. Other sites historically have not got the right traction so there really is only one way to get your property noticed by the masses.

Viewings

By this stage the property should be ready to view, we can inform potential tenants of any works scheduled however it does at least need to be ready for presentation.

In creating the buzz for your property we would look to have several viewings lined up at a designated time and date with allocated slots per customer, as there’s nothing worse than having several people all trudging round at once as it makes for a bad experience.

Every prospective tenant gets an allocated slot and time with the agent to ask questions allowing them to make an informed decision. We’ll know everything as we would have completed a property questionnaire with you in advance so we can sell the sizzle on your property beautifully! Naturally some customers will arrive early or late which will show how your property is in great demand and encourage people that their next move to your property is the right one.

We allow all suitable applicants to view even if they cant make the allotted day as we are very flexible and can cater to a variety of schedules.

The selection process

As most stages of the process this is vital, however should you make the wrong decision it could be catastrophic depending on the service level you choose (Fully Managed is far less stressful and financially more viable).

With the amount of interest we have generated it is expected that you will have more than one application to consider. We will present the details of each application to you in writing.

 

Once you have made the choice we deliver the bad news to the customers that were unsuccessful and then begin setting target dates and the process for the tenancy set up.

Tenancy set up

When you have chosen your preferred tenant there is a considerable amount of paperwork that needs completing for the tenancy to commence. The good news is the landlord’s side is pretty much done and it’s down to us to sort the tenants and everything else surrounding the tenancy.

We will conduct the necessary referencing checks on your tenant to ensure they meet the referencing criteria and if this is the case you also qualify for specialist landlord Rent Guarantee and Legal Cover (see Rent and Legal section).

The government have introduced various documentation and regulation that needs to be in place at the start of the tenancy, from deposit protection right up to the latest version of the governments how to rent guide. We will ensure that all the necessary certificates are in place and any notices/clauses or conditions meet current regulations.

We will sign the agreement on your behalf, the tenant will sign their versions and complete their standing order to be set up.  We take our fee from the first months rent in advance, copies of the agreement will be distributed along with the rest of the documentation required under the Deregulation Act 2015 and the tenancy will commence.

Ongoing maintenance

This next section will only apply if you take the Fully Managed option, if it’s a Let Only service you have requested then our liability stops here and you as the landlord will be responsible for all aspects surrounding the tenancy and any further advice should be taken from a specialist lettings specific solicitor. Unless you have paid for additional add-ons.

Now that the tenancy has commenced we shall take away the arduous, stressful and time consuming tasks involved in being a landlord. So all you need to do is liaise with us when we need consent from you to instruct work/agree tenancy renewals or if we have an update that you need to be aware of. The rest of it we’ll screen and deal with on your behalf so you can sit back and relax, safe in the knowledge that your rent is coming in and the tenancy is being taken care of.
